Frequently Asked Questions – Background Checks

Why do I need to complete a background check?

Background checks are required for admission and/or participation in clinical experiences. Healthcare facilities require this screening to help maintain a safe environment for patients, staff, and students. Background checks completed through DISA Healthcare are not used to determine employment or graduation. Licensure boards and future employers may require additional or separate background checks.

Is a background check required for all students?

Yes. If you have been directed to complete a background check, it is required for all students participating in clinical experiences. Background checks are mandated by healthcare facilities as part of their safety and compliance requirements.

Why are background checks required for clinical experiences?

Students in clinical settings must meet screening standards similar to those required of healthcare facility employees. A consistent background check process helps support patient safety and institutional compliance.

What happens if I do not complete the background check?

Per school policy, students who do not complete the required background check may be unable to participate in clinical experiences. This could impact a student’s ability to begin, continue, or complete their program of study.

Do I have to order my background check through this website?

Yes. All background check orders must be placed through the DISA Healthcare website. Students are responsible for entering their information accurately and completely. Orders cannot be accepted by phone, email, or fax.

How is the cost of the background check determined?

DISA Healthcare works with educational institutions to offer discounted student pricing. Final costs may vary by program requirements, including specific search types, third-party or court fees, number of prior addresses, and use of prior names or aliases.

Will my school reimburse me for the cost?

In most cases, students are responsible for payment. Any reimbursement policies are determined by your institution and should be discussed directly with your school.

What payment methods are accepted?

You may pay using credit or debit cards backed by Visa or Mastercard, or prepaid/gift cards with a Visa, Mastercard, or American Express logo.

What if I don’t have a credit or debit card?

You may select Money Order as your payment method during checkout. Your order will remain pending and will not be processed until payment has been received and cleared.

Can a third party pay for my background check?

Yes. Place your order online and select Money Order as the payment type. The third party may submit payment using the instructions provided.

Is my order refundable?

No. Once an order is submitted, it cannot be refunded, as searches are initiated immediately.

I made a mistake on my order. Can I change it?

How do I obtain a copy of my completed report?

You may log in to your DISA Healthcare Student Portal at any time to view or download your completed report.

Can I access an older report?

Yes. DISA Healthcare retains completed reports, and copies remain available through your Student Portal.

How long is my background check valid?

A background check reflects information available as of the completion date. Your school determines how long a background check is acceptable, typically within 90 days, 6 months, or 1 year.

How far back does the background check search?

The scope is determined by program requirements and state/local laws. Typically, searches cover up to the past 7 years.

Will juvenile records appear?

Juvenile records are reported only when made available by the court, typically when the individual was charged as an adult.

Will expunged or sealed records appear?

No. DISA Healthcare does not report records that have been expunged, sealed, or removed from public court access.

My report is “flagged.” What does that mean?

A report may be flagged if a record was identified, a fingerprint-based search returned information, a drug screen result was reported, or the order has expired.

What if I believe my report contains incorrect information?

If you believe information is inaccurate, you may submit a formal dispute. DISA Healthcare will review and work with reporting sources as applicable.

Can DISA Healthcare confirm whether I was accepted into my program?

No. DISA Healthcare does not make or have access to admission or placement decisions. All decisions are made by your institution or clinical site.
